Pay: $26.14/hour
Location: Campus, Irvine. 100% onsite
Hours: Monday – Friday, 8am-5pm

Summary of the Work to be Performed:
In the process of getting approval for a career candidate. Payroll and Personnel. This person will be using TRS and UCPath (internal programs that will be trained on), transactions for new hires and transfers. Big element is onboarding and new hire orientation, data entry and filing. Looking for someone who is passionate about HR and wants to learn about HR. 1-3 years of relevant experience.

50% – PAYROLL & TIME REPORTING

Provides analytical support and administrative coordination to include entries and updates in UCPath of all career/limited staff, separations and department transfers.
Collaboratively problem solve payroll related issues related to UCPath and serve in roles such as UCPath Initiator and Approver.
Analyzes payroll issues, researches possible solutions and in consultation with the HR Generalist 3, provides payroll policy and procedure advice to department managers and supervisors.
Provides general support to the Student Health Center in answering general inquiries and providing high-level customer service and timely follow through.

In consultation with the HR Generalist 3, prepares official employment documents and completes online personnel processes related to new hires, rehires, leave of absences, separations, salary adjustments, and terminations; including the prearrangement of final separation paychecks consistent with required university policies and procedures.

a. Updates the UCPath system with changes in leave accrual codes, reclassifications, equity increases and merit adjustments, as directed.

b. Responsible for accurate reporting of staff compensation through UCPath by ensuring that the distributions for funding lines and earn code types are precisely calculated and then entered into UCPath.

c. Regularly analyzes ending date, pay rate levels, and accrual rates to ensure that appointments or distributions do not end prematurely, that salary increases are processed in a timely manner and that accrual rates are appropriate.

d. Processing payroll transactions for monthly and bi-weekly payroll, late-time reporting, additional pay, time reduction, intercampus and one-time payments, salary adjustments for retro-active payments, and other personnel actions, as needed.

e. Ensures appropriate and timely processing of separations in UCPath. Verifies that all appropriate separation documentation are completed and signed by employee including final TRS submission. Accurately calculates and submits final pay including vacation accrual balance as appropriate.

f. Updates leave accrual codes according to service credit. Provides information to employee regarding leave balances when requested, and at the time of employee termination or transfer.

Serves as Departmental Time Administrator (DTA) for the online Time Reporting System (TRS) and payroll coordinator for UCPath. Independently manages bi-weekly and monthly time reporting submission while ensuring time is reported and approved accurately and correctly by employee and supervisor in accordance with payroll deadlines.

a. Creates and modifies TRS profiles, updating assignment of supervisor designations for all new hires and subsequent changes in roles, as needed.

b. Updates information such as assigned staff schedules and work hours.

c. Creates and review DTA Reports through TRS after payroll run to ensure correct time reporting.

d. Facilitate the annual collection of Comp Time selection information on behalf of non-exempt employees for reporting and updates to TRS.

Responsible for auditing employee leave accrual codes by reviewing and calculating employee service credit information. Analyze accuracy of leave usage and accruals as permitted by applicable payroll policies and procedures.
Ensures that completed forms for employee designation of compensatory time are maintained and updated for appropriate classifications.
Serves as a liaison between the employee and the UCI Payroll office when working on pay discrepancy issues such as earnings, deductions, direct deposit, lost checks and W-2 forms.
Attends all regular trainings, seminars and workshops conducted by central Human Resources, Payroll, and UC Learning Center in order to keep abreast of pertinent payroll-personnel policies and procedures. Stays current on payroll policy issues and impending policy decisions that may impact salary pay scales.

50% – PERSONNEL SUPPORT

Assists with the SHC New Employee Orientation Program to onboard all new hires. Ensures all new employees are provided with applicable employment resources and personnel policies and procedures at the time of their initial employment.
Distributes new career employee orientation checklists informing employee of staff responsibilities and processes.
Assembles new hire personnel files consisting of labeling and photocopying documents as appropriate. Assist in auditing personnel files to ensure proper migration to EROS system.
Tracks professional development data, including participant information, classification, unit and categories of requested training. Conduct analysis and based on findings, make recommendations on departmental training needs in specific subject areas for specific classifications.
Assists with timely completion of Leave of Absence (LOA) forms and FMLA documentation. Assist Department Managers with any incidents of injury and completion of incident reporting for department and EH&S.
Assists with annual performance evaluation process: notifying supervisors and managers of deadlines, facilitating the collection of completed evaluations and obtaining departmental signatures. Create and maintain personnel reports to track annual performance evaluation rating data for coding into UCPath as appropriate.
Assists with training and in-service programs for SHC employees, ensuring that the department has 100% compliance for all required trainings.
Coordinates the annual employee satisfaction surveys, tabulating results and maintaining the survey results for the department.
Assists in the implementation of employee development and workplace satisfaction programs to include but not limited to: supervisory skill workshops, customer service seminars, and recognition programs.
Assists with the preparation of HR, personnel, and regulatory agency/accreditation audits.
Responsible for managing and maintaining accurate and complete employee information bulletin boards.
Assists with annual review and collection of data related to staff titles to ensure proper designation of supervisory classification and title codes.
Other duties as assigned.
