Position Overview: We are seeking an Office Coordinator/Administrative Assistant to assist with the day-to-day operations and ensure efficiency of the office for our small but growing staff of 12. The Office Coordinator/Administrative Assistant is a resourceful individual who is a skilled problem solver with stellar organizational abilities that leads with kindness.
Primary Responsibilities (include but not limited to):

Address and prioritize employees’ queries and requests regarding office management issues or tasks.
Order and maintain stock of office-related supplies, groceries, kitchen supplies, and occasional catered meals.
Maintains tidiness and functionality of kitchen, office, conference room, file room, and communicates with cleaning staff or property management when necessary.
Collect and distribute mail and deliveries. Schedule couriers and drop off shipments.
Manage and distribute incoming emails from the main corporate email account and phone calls to the main corporate line.
Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination.
Recruit, screen, schedule, and pay third party vendors or service providers.
Troubleshoot computer issues for employees to the best of your ability. Liaison with offsite, third-party IT for issues.
Welcomes and provides general support for the occasional office visitors.
Assist with event planning and execution for company outings and grand openings for our multifamily properties. Manage, coordinate, and arrange team travel and travel-related activities, including hotel booking, transportation, and meal coordination.
Organize and maintain the team calendars, team meetings, conference room booking, and appointments.
Maintain an organized filing system of paper and electronic documents.
Process expense reports for senior executive team and general office expenses.
Data entry and research.
Take on additional duties and responsibilities as assigned.

Qualifications & Experience:

Minimum 3 years of administrative support experience.
Experience in a staff or customer-facing environment.
Proficient in Outlook (email and calendar), Microsoft Teams, Word, Excel, and Adobe Acrobat.
Proficiency using both Mac and Windows PC fluidly.
Dependable and punctual in attendance.
Demonstrated sensitivity and respect for the cultural values, practices, beliefs, and social experiences of diverse communities.

Ideal Candidate:

Experience working within a small organization environment or real estate office is desired.
Event planning experience. You are thrilled to throw awesome parties and have the know-how to execute.
Public Notary or the ability to become one.
