*Job Description*
Summary/Objective
An Office Administrator is a professional who oversees operations across the organization’s office. They are responsible for welcoming visitors, coordinating meetings, appointments and directing/handling various administrative projects.

*Is responsible for ensuring adequate coverage of the reception desk (from 8am – 5pm) by scheduling coverage around his/her normal work day. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

Directs calls to main number to appropriate personnel. Distributes incoming faxes.
Coordinates company meetings and arranges for food/beverages as needed.
Manage agendas, travel plans and appointments for upper management.
Track and replace office supplies as necessary to avoid interruptions in standard front office procedures.
Performs administrative follow-up on Certificates of Insurance (COIs).
Manages the Fleet Program supporting the CFO/Insurance Program.
Manages the cleaning staff for the front office.
Coordinates any front office maintenance issues.
Retrieves and drops off mail at post office, sorts, affixes postage and opens/routes incoming mail. Manages the maintenance of the postage machine.
Orders office and kitchen supplies and ensures kitchen is clean/organized.
Collates and mails AR invoices to customers.
Is a Standing Member of the Fun Committee.
Perform any other general office administrative duties as required or assigned.
Other special projects commensurate with skill level.

Competencies

Excellent leadership, time management and organizational skills.
Proven excellence as an office assistant, office administrator or in another relevant position.
Outstanding abilities to communicate in person, in writing and over the phone.
Familiarity with common procedures and basic account principles used in the office.
Knowledge of Microsoft Office and other office management tools and applications.

*Supervisory responsibilities*Does not manage any staff.

Required education and experience

Required: High School diploma/equivalent and one to two years related administrative experience.
AA Degree preferred.
