The Executive Assistant must display excellent communication and people skills and maturity in handling business and confidential situations. He/she will produce standard and confidential correspondence, spreadsheets, prepare or assist with maintaining databases, and materials for meetings; make travel arrangements and produce expense reports for the team; provide phone coverage including taking messages, handling routine requests and forwarding calls; make copies; distribute mail and routine correspondence; send faxes and manage the inventory and reordering of materials and office supplies. Exercise independent judgment in the resolution of administrative problems.

Job Description

Highly organized with strong attention to detail
Ability to mange multiple projects in a fast paced environment and able to prioritize projects
Intermediate knowledge of Microsoft Office specifically including: Outlook, Word and Excel.
Operate and manage office machines/equipment such as: PC, Printer, Photocopier and Fax
Arrange and track all Fedex and courier needs
Compose routine correspondence
Compile special reports and perform administrative duties as required
Communicate with executive, administrative and line management personnel to gather or convey relevant information
Organize and maintain confidential files and records
Create and maintain any necessary database and files
Coordinate meetings or events by arranging for facilities and caterer, issuing information or invitations, and controlling event budget
Screen incoming calls and correspondence and respond independently when possible
Work effectively with internal and external clients
Arrange complex and detailed travel plans and itineraries; compile documents for travel-related meetings
Plan and organize work and develop procedures to meet requirements
Consistently meet deadlines with minimal supervision

Qualifications

Requires a minimum of 2-3 years experience in an administrative capacity.
Bachelor’s degree or equivalent a plus
Superior oral and written communication skills
Strong PC skills (proficient with Microsoft Word, Excel, PowerPoint and Outlook).
Strong organizational and communication(written and verbal) skills
COVID vaccination will be required for this position unless candidate has a legally valid exemption

Requires a high degree of tact, initiative, accuracy, judgment and superior interpersonal skills, a thorough understanding of business practices and procedures
Ability to effectively interact with all levels of management
