SUMMARY
Contacts existing and potential clients to secure label orders, estimates costs, prepares quotations and coordinates production of printed materials, specifically pressure sensitive labels. Coordinates prepress or printing services with customers’ requirements in accordance with company policies and procedures, by performing the following duties.
CORE DAILY FUNCTIONS
-Answer clients and potential client’s questions about labels via email and phone.
-Enter quotes into Label Traxx and send quote letters to clients.
-Manage the sending and approval of proofs, order confirmations and tooling purchase orders.
-Enter tickets and create tickets docs for production
-Follow up with clients about upcoming orders and future business opportunities and ensure clients are getting excellent service and quality.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Handles inbound sales lead calls to convert into sales.
Makes outbound lead follow up calls to potential and existing customers by telephone and e-mail.
Prepares sales promotional letters and sample packets to be sent to prospective customers.
Explains methods of production and assists in making decisions for alternate ways to produce to customer’s requirements
Explains method of pre-press requirements for artwork
Prepares formal quotations and order confirmations specifying the materials and print specifications of the job.
Provides new customer details such as credit application, resale certificate and other pertinent information to Accounting in a timely manner before commencing with a new account.
Liaises with Outside Sales Representatives to obtain all relevant information to commence a new job.
Plans and when necessary draws layout of the production items. Provides reference information and notes relevant to changes for the pre-press department. Attends production meetings with the other departments to assess jobs, including scheduling commitments.
Determines supplies, materials, and tooling needed for job order, specifically the paper, foil, cutting dies, foil dies/plates, and embossing dies/plates. Routes artwork, samples and job instructions to Pre-press and production as necessary.
Confers with the Production Coordinator and places purchase orders for items not in-house and kitted, with the relevant vendor and manages the approvals from the vendors’ proofs in a timely manner to meet the scheduled delivery date
Monitors progress and confers with customers throughout production to keep them informed of status of job, to solicit and resolve inquiries and complaints, to obtain approval of materials such as artwork, color separations and proofs, and to procure information and materials needed to process order and meet production schedule.
Expedites the job in a timely manner in accordance with customers’ requirements and company policies and procedures.
Estimates method and cost of shipping in a timely and economical way.
Prepares shipping documents and company pack slips and billing information.
Files all job related paperwork such as dockets, specification cards and production job cards.
Develops and maintains relationships with purchasing, marketing, designers and key customer contacts and decision makers. Informs them of new capabilities and relevant company changes.
Communicates to the relevant company personnel both verbally and in writing using established policies and procedures any post production problems or customer complaints with the assistance of the Quality Control Department. Assists in determining fast but realistic resolutions to problems.
Attends and assists in the setup of trade shows.
Conducts customer surveys, solicits responses, tracks and analyzes data.
Answers phones and takes detailed messages.
Manages multiple priorities in a fast paced environment.
Assists elsewhere within the organization as needed.
QUALIFICATIONS

EDUCATION/EXPERIENCE
High school diploma or general education degree (GED) or 5 years of experience and/or training; or equivalent combination of education and experience.
COMPUTER SKILLS
Intermediate computer skills with the ability to learn various software programs as needed. Current software usage requirements include MS-Office, e-mail, Quickbooks, Label Traxx, and the Internet to prepare reports, job tickets, memos, spreadsheets, and documents; complete company forms and to communicate inside/outside the organization.
LANGUAGE SKILLS
Ability to read, analyze and interpret technical procedures and company policies and procedures. Ability to write routine reports and business correspondence. Ability to effectively present information and respond to questions from groups of managers, co-workers, customers, and the general public. Must be able to follow verbal and written instructions. Ability to speak read and comprehend English with strong spelling and grammar skills. Must be able to effectively present information in one on one and small group situations.
MATHEMATICAL SKILLS
Strong math skills are needed to apply concepts of basic algebra and geometry in all units of measure, using whole numbers, fractions, and decimals. Convert fractions to decimals. Convert metric to U.S. measure, convert U.S. measure to metric.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusion. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
OTHER SKILLS AND ABILITIES
Must have the ability to work in a team-oriented environment assisting others throughout the organization as needed.
Must have the ability to interact and get along with all levels of employees.
Must be detailed oriented.
Must be able work overtime as needed and work well under pressure to meet deadlines.

The employee is regularly required to use hands and fingers to operate office machines, a computer, copier and calculator; to handle labels and paper to feel texture; reach with hands, and arms; and stoop, kneel, and crouch; lift and/or carry small packages of up to 10 pounds and occasionally lift and/or carry boxes of labels weighing up to 25 pounds between the production area and other locations within the office. The employee is frequently required to sit at a computer to perform most job tasks for long periods of time.
Specific vision abilities required by this job include close vision, color vision, peripheral vision and depth perception, and ability to adjust focus to assess label material, quality and color.
