Job Summary:
Acts in a professional manner providing customer service as a general telephone operator for the company, as well as offering administrative support to BP Customer Service Manager and others as needed.

Responsibilities and Duties:
1. Uses friendly and professional conduct in receiving high volumes of calls
2. Answers all calls before the third ring
3. Effectively balances holding calls and active calls
4. Determines the caller’s name and nature of business
5. Recognizes high priority names and voices
6. Screens all calls intended for executive management
7. Directs patrons to the appropriate extension
8. Maintains awareness of all employees schedules of lunches and appointments
9. Uses the facility-wide paging system in a professional and business-like manner to contact employees as needed
10. Acts as Administrative assistant to Building Products Inside Sales Division Manager
11. Looks up purchase orders as requested
12. Acts as a support to the Customer Service Representatives
13. Stocks supply cabinets for the department; checks status of cabinets regularly
Maintains Inside Sales fax machines at no greater than 15 minute intervals
Collects and distributes faxes, processes mail for department, and delivers messages to the Building Products Customer Service teams regularly throughout the workday
Checks personal and fax boxes and distributes information to Customer Service Representatives,
Performs other duties as requested by the Building Products Inside Sales Division manager
Assist various departments with clerical assignments
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education Required:
High school or equivalent, must possess 2 years experience as a receptionist or operator
Computer Skills:
Must be able to use the company PC driven switchboard, must have basic experience with Microsoft Windows OS, particularly with Excel, able to work with the company’s AS400 program
Language Skills:
Adept at reading and writing, and uses professional business grammar
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
Reasoning Ability:
Uses common sense to fulfill job requirements and carry out instructions; can effectively apply problem solving techniques to job functions
Physical Demands:
Possesses ability to sit for extended periods of time and wear a headset; required to talk with people both on the phone and in person; must hear and comprehend conversation and instructions; use hands to push buttons, type, write, and handle paperwork. Walking, stooping, bending, and light lifting of no more than 5-40 lbs. is needed periodically.
Mental / Emotional Demands:
Able to handle potentially irate callers in a fast-paced setting with a positive attitude using effective problem solving techniques
Work Environment:
Works in a demanding environment with a generally moderate noise level, devoid of hazardous or unusual working conditions
