The Division of Pediatric Cardiology is a robust and dynamic Division with the Department of Pediatrics at the Stanford University School of Medicine. The Division is seeking an Administrative Operations Manager to serve as an essential member of the senior administrative leadership team led by the Senior Division Administrtative DIrector to provide shared vision, strategy, management and supervision. The position will manage and develop staff at least 50% of the time to achieve the clinical, teaching & education, and research mission, goals and objectives of the Division. The ideal candidate will demonstrate a values-based approach to leadership, critical thinking & evidence based decision making, and bring a highly collaborative and consultative method. Stanford and the Lucile Packard Children’s Hospital Stanford are highly relational environments that demand excellent written & verbal communication, agility, and creative problem solving.

Duties include:

Manage staff in the day-to-day operations for functional area(s) of responsibility. Responsible for hiring and retaining staff, career coaching, personal development for direct reports and accountable for the performance of employees. Ensure work completion within schedule and constraints.
May independently or in collaboration with human resources managers, guide faculty supervisors in the interpretation and implementation of human resources policies, procedures and programs.
Evaluate business processes and operational and/or financial effectiveness. Analyze and resolve complex issues and provide alternative solutions as necessary. May lead process improvement for immediate unit.
Analyze unit needs and make recommendations to leadership for changes in staffing, facilities, health and safety compliance, finance, technology and/or administrative functions. Work with the Chair and/or Dean’s Office regarding resources to support faculty activities and interests.
Interpret, implement and ensure compliance with university academic and administrative policies and procedures within an operating unit. Recommend new internal policies, guidelines and procedures.
Represent the unit’s business and academic operations within the organization/school.
Manage student and faculty program administration for their unit.

Experience in management of projects, programs and events of moderate size/complexity including planning, scheduling, tracking, and budgeting.
Ability to direct the work of others, for jobs requiring supervision.
Background in HR, staff management and development
Polished written and oral communication skills to address a wide variety of audiences.
Ability to productively engage and influence cross-functional teams.
Demonstrated project management ability to employ integration, scope time management, cost, quality, human resources, communications, risk, and procurement components.
Demonstrated resilience, diplomacy, influence, relationship building, and problem-solving skills in a variety of situations.
Depth of knowledge in technical discipline/domain needed to deliver projects.
Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.
Demonstrated creativity, problem solving skills, taking initiative, judgment, and decision-making skills.
Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detailed oriented.
Knowledge of Microsoft Office suite and other online documents, such as Google Docs.
Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.
Demonstrated solid planning and organizational skills.
Demonstrated experience working independently and as part of a team.


Bachelor’s degree and three years of relevant experience, or combination of education and relevant experience.


Demonstrated supervisory skills including conflict resolution.
Excellent planning and organizational skills.
Excellent communication skills
Working knowledge of accounting, budget planning and financial forecasting.
Working knowledge of grants and contract administration
Strong negotiation and effective interpersonal skills.
Solid analytical and problem solving skills.
Attention to detail and accuracy
Strong expertise in business and management computer applications and databases.
Strong knowledge in industry standards and/or regulatory requirements.
Ability to multi-task and manage deadlines.
Subject matter expertise for area(s) of responsibility.

Desired- Certification in Human Resource management


Constantly perform desk-based computer tasks.
Frequently sitting.
Occasionally stand/walk, writing by hand, use a telephone, lift/carry/push/pull objects that weigh 11-20 pounds.
Rarely sort/file paperwork or parts, rarely twist/bend/stoop/squat.
